The Role

 

The Clinical Administrative Assistant is responsible for interacting with both clinic and study patients in a healthcare setting and managing administrative tasks for the clinical team. Duties include greeting patients and family via phone and in person, explaining intake forms to new patients, and scheduling both clinic appointments and study visits.

 

Schedule: Mondays through Fridays, 8:00am - 5:00pm

Hours: Full-time, 40 hours per week

Location: Onsite in Plymouth, MA (south of Boston)

Supervisor: Practice Manager

 

 

Responsibilities

  • Interacts in a professional manner at all times
  • Greets and checks in clinic and study patients
  • Answers telephones, takes detailed and accurate messages, and ensures messages are directed appropriately
  • Notifies clinic team of patient arrivals 
  • Provide intake paperwork (demographics, medical history list, medication list, surgeries)
  • Enter new patient registration forms into medical chart
  • Chart preparation
  • Monitor voice mail box and ensure messages are directed appropriately
  • Monitor faxes and ensure they are directed appropriately
  • Conduct appointment confirmation calls
  • Facilitate the ordering of prescription refills
  • Completes the medical billing for the clinic
  • Obtain prior authorizations as needed
  • Full knowledge of front desk check out for back up
  • Facilitate EEG scheduling with EEG Tech and patient
  • Responsible for all functions of accounts receivable
  • Other tasks as assigned

 

 

Qualifications

 

  • High school diploma or equivalent education required
  • A minimum of 2 years’ experience working in a clinical environment with direct patient interaction
  • Exceptional customer service skills
  • Positive and professional attitude
  • Working knowledge of medical terminology
  • Skilled in operating phones, personal computers, software and other basic IT systems
  • Ability to communicate with employees, patients and other individuals in a professional and courteous manner
  • Demonstrates high level of attention to ensure accuracy of reports and data
  • Outstanding verbal and written communication skills
  • Proficient in Microsoft Office Suite products including Excel, Word and Outlook
  • Capable of working independently with minimal supervision and also as part of a team
  • Clinical trials knowledge is a plus
  • Experience with CRIO (Clinical Trial Management System) is a plus
