Purpose of the Role

As a Talent Acquisition Sourcing Specialist, your mission is to uncover exceptional talent for our rapidly growing network of clinical research sites. You won’t just fill roles; you’ll proactively build relationships, establish long-term pipelines, and connect with professionals who may not yet be looking—but who could be the perfect fit tomorrow.

 

This role is ideal for someone energized by phone outreach, skilled in engaging passive candidates, and passionate about contributing to a mission that improves healthcare outcomes through cutting-edge research.

 

Responsibilities

🔎 Candidate Sourcing & Outreach

  • Proactively identify and engage top talent across clinical, operational, and administrative roles in the research space.
  • Spend substantial time on the phone speaking directly with passive candidates to share Headlands' mission, learn about their career goals, and assess alignment with future opportunities.
  • Use a variety of tools (LinkedIn Recruiter, job boards, ATS, referrals, cold calls) to generate talent pipelines across multiple geographies—especially in markets where we are not yet actively hiring but anticipate future growth.

🤝 Pipeline Development

  • Cultivate and maintain warm relationships with qualified candidates for roles we frequently hire (e.g., Clinical Research Coordinators, Research Assistants, Investigators), as well as niche and location-specific roles.
  • Keep pipelines active and well-documented for future hiring needs, ensuring candidates remain engaged and informed.

📈 Collaboration & Strategy

  • Partner with Senior Talent Acquisition Partner and managers to understand long-term workforce planning needs.
  • Track market trends, identify competitor talent pools, and recommend sourcing strategies based on data and candidate feedback.
  • Help shape recruitment messaging, outreach campaigns, and employer branding efforts to attract high-quality talent.

🛠 Systems & Documentation

    • Maintain accurate candidate records and notes in the Applicant Tracking System (iCIMS/Greenhouse).
    • Generate reports on pipeline activity, outreach metrics, and sourcing performance on a regular basis.

 

Qualifications

  • 2+ years of experience in recruiting, sourcing, or talent acquisition within the healthcare, clinical research, or life sciences industries.
  • Experience engaging passive candidates through cold calling, email marketing, networking, and social media outreach.
  • Experience creating, tracking, and analyzing sourcing strategies and email drip campaigns within a CRM, ATS, or other system.
  • Bonus points for experience with A/B Testing!
  • Strong interpersonal and communication skills—especially over the phone and through email.
  • Familiarity with ATS platforms (e.g., iCIMS, Greenhouse, Lever) and sourcing tools (LinkedIn Recruiter, Boolean search, etc.) required.
